Payroll Set Up & Processing

Can you tell me about the set up process?

The set-up process can involve the gathering of a lot of information and documentation including application, banking information, and employee information. A valid driver’s license of the business owner is also required. We do our absolute best to make the set-up as easy as possible.

What are the set up costs?

Typically, there are no setup fees. However, in cases where complex pre-existing conditions must be addressed before initiating payroll with Major Payroll, a setup fee may apply due to the significant labor required to resolve these issues.

How does your payroll service work?

From the business owner’s perspective, running payroll is incredibly simple. Once employer and employee details are entered into the payroll system, the employer just inputs the hours worked or the payment amount for each employee and confirms the pay period. Major Payroll takes care of the rest—processing direct deposits to employees’ bank accounts and submitting all necessary tax filings to state and federal agencies.

Major Payroll is equipped to handle payroll processing across virtually any industry, including more complex scenarios commonly found in sectors like construction and restaurant.

How often can I run payroll (weekly, biweekly, monthly)?

Major Payroll offers flexible payroll scheduling—whether it’s weekly, biweekly, or monthly. We also accommodate off-cycle payments, such as emergency disbursements or employee bonuses, whenever needed.

Do you handle both W-2 employees and 1099 contractors?

Yes, Major Payroll handles both W-2 employees and 1099 contractors.

How do I submit the payroll (employee earnings)?

While we encourage clients to submit payroll through our employer online application for ease and efficiency, we understand that this method may not suit everyone. That’s why we also accept payroll submissions in alternative formats, including email, text message, and shared spreadsheets.

What’s your process if I want to switch providers?

We recommend that clients make the official transition to Major Payroll at the end of a calendar quarter—March 31st, June 30th, September 30th, or December 31st. To ensure a smooth handoff, you’ll need to provide complete payroll records for all employees who worked during the year, including details such as employee information, hourly wages, and taxes paid. If your final day with your previous provider is December 31st, no prior payroll data is required. Once we receive the necessary information, Major Payroll will seamlessly continue payroll processing for the remainder of the year.

Compliance & Tax Questions

Do you handle all tax filings and payments?

Yes, we handle quarterly filings for Form 941 and complete annual payroll filings for both W-2 and 1099 employees.

Can you help me CATCH UP with state and federal payroll filing?

Yes, we can assist you in catching up on payroll filings. We’ll need to gather all payroll data for the relevant period, determine what has already been paid, and calculate any remaining liabilities.

Do you provide year-end forms like W-2s and 1099s?

All payroll documents are readily accessible through the employee and employer web portal, including paystubs and W-4 forms. If an employee requires a physical copy of their W-4, simply let us know and we’ll be happy to mail it.

What happens if there’s a mistake with payroll taxes?
Can you help me understand my tax obligations as the employer?

Yes, we will be happy to go through your state and federal tax obligations.

How much does payroll processing cost?
Are there setup fees, hidden fees, or cancellation penalties?

Employee & Employer Features

How do employees get paid? (direct deposit, paper checks, pay cards?)

Employees can be paid by direct deposit, paper checks or pay cards. For checks, the employer can enter the data in the employer portal and get the final amount after taxes.

Do employees get access to an online portal or mobile app?

Yes, employees have access to an online app. Within the app, employees have access to check stubs and W2s.

Can you handle garnishments, benefits, and retirement contributions?

Yes, we can manage all payroll garnishments on your behalf.

Do you offer time tracking?

Do you handle multi-state payroll if I have employees in different states?

Yes, Major Payroll is fully equipped to support multi-state payroll processing.

What happens if I need an off-cycle payroll run (like a bonus or correction)?

Major Payroll can process off-cycle payments seamlessly.

Customer Support & Reliablity

Will I have a dedicated account representative or just a call center?

You’ll have a dedicated representative assigned to you. As a small business ourselves, we don’t operate a call center—so you’ll always receive personalized support.

What happens if I need payroll corrected quickly?

To ensure timely Friday payments or direct deposits, all final payroll data must be entered by Tuesday evening.

As a best practice, we recommend completing payroll calculations and data entry by Monday. This provides ample time to identify and correct any discrepancies, and to follow up with managers or employees to verify hours worked or other payroll details.

How secure is my data?

Our software providers have integrated a very high level of security. Please see our security page for more details. In addtion, we offer a client portal which will allow for secure document exchange.

Why should I choose your company over a bigger provider like ADP or Paychex?

Who is responsible if there’s a tax filing error — me or Major Payroll?

Major Payroll takes full responsibility for any errors resulting from incorrect calculations that lead to inaccurate tax filings. If you’re dealing with an issue caused by a previous provider, we’re here to help resolve it.

What’s the typical turnaround time for support requests?

We typically provide an initial acknowledgment promptly. Basic questions are often addressed in that first response or shortly afterward. The time needed to fully resolve your issue will depend on its complexity, but we’ll keep you informed throughout the process.

Integration & Extras

Do you integrate with my accounting software (QuickBooks, Xero, etc.)?
Do you also handle benefits, retirement plans, or workers’ comp?

Yes, we’ve partnered with a trusted benefits provider, allowing us to offer comprehensive solutions including 401(k) programs, health insurance, workers’ compensation, and more. Please feel free to reach out for additional details.

Do you provide reporting and analytics for payroll costs?

There are numberous customerizable reports in the employer portal. You are able to extract the data by various criteria. If any of those existing report do not meet your needs, please let us know and we can create a report tailored for your business.
