What exactly does your bookkeeping service include?
Our services include the following and MORE, depending on your needs. All of this is important because it provides the foundation for sound financial management and decision-making in any business. By systematically recording and organizing financial transactions, bookkeeping ensures that a company has accurate and up-to-date information about its income, expenses, assets, and liabilities. Do you provide financial statements?
Yes, once the monthly reconciliation is completed, we can generate and provide your financial statements. If you’re subscribed to QuickBooks Online, you’ll have on-demand access to your financial statements at any time.
How often will my books be updated — daily, weekly, or monthly?
For most businesses, bookkeeping should be performed at least monthly. However, in cases where cash flow is critical to daily operations—such as in many restaurants—bookkeeping may need to be done weekly or even daily to ensure accurate financial oversight.
Do you work with both small businesses and larger companies?
Major Payroll has supported businesses of all sizes by offering flexible bookkeeping solutions tailored to their unique needs. For small businesses, we’ve served as a full-charge bookkeeper, managing all aspects of their financial records. For larger companies, we’ve provided targeted support by handling specific tasks within their broader accounting operations. This adaptability allows us to deliver value wherever it’s needed most.
Can you clean up past bookkeeping if I’m behind?
Absolutely — bookkeeping cleanup is one of our core specialties. We’ll ensure your books are organized and tax-ready.
Technology & Software
What accounting software do you use?
We use QuickBooks Desktop and QuickBooks Online.
Do I need to buy my own software subscription, or is it included?
If having direct access to your accounting system is important to you, we can implement QuickBooks Online to support that visibility. You’re welcome to set up your own subscription and designate Major Payroll as your bookkeeper. Alternatively, we can manage the subscription on your behalf and include it in our service package—whichever option best suits your needs.
Do you integrate with my invoicing or point-of-sale system?
As mentioned, Major Payroll utilizes QuickBooks for bookkeeping. QuickBooks integrates with a wide range of POS systems, including Square, Lightspeed, Toast, Shopify, and others. However, based on our experience, not all POS integrations are equally seamless. Regardless of the POS system you use, we can tailor and optimize the integration process to ensure you get the maximum benefit.
Can I access my books and reports online at any time?
Yes, if you have a QuickBooks Online subscription, you’ll have real-time access to your books whenever you need it. If not, no problem—we’ll upload your monthly financial statements directly to your client portal for easy access and review.
How do you keep my financial data safe and secure?
Major Payroll provides a highly secure client portal, specifically designed for accounting firms. This portal allows you to safely upload financial documents without relying on email, helping to protect sensitive information and streamline communication.
Taxes & Compliance
Do you also file taxes, or do you work with my CPA?
We’ve partnered with a CPA who can assist in filing your taxes. Alternatively, we’re happy to collaborate with your existing CPA or tax preparer to ensure everything is handled smoothly.
Can you prepare 1099s or W-2s for my employees/contractors?
Yes, we offer comprehensive payroll services. All you need to do is provide us with your payroll data. Wither your workers are W-2 or 1099 employees, we can help you get up to date with payroll tax filings.
Do you help with sales tax reporting and filing?
Yes, we can review your bookkeeping records to determine the amount of taxes owed. You are required to have a sales tax account with the State Comptroller. If you don’t currently have one, we can assist you in setting it up. If you already have an account, we’ll need some information from you in order to file and submit the payment on your behalf.
How do you make sure my business stays compliant with IRS/state rules?
Major Payroll ensures your business remains compliant with key tax obligations, including Federal Income Tax, Sales Tax, Franchise Tax, Payroll Tax, and more. We work directly with state agencies to help bring your business up to date and into full compliance. Our team takes care of filing all necessary documents accurately and on time, giving you peace of mind and helping you avoid costly penalties.
Communication & Support
How often will we meet or review my books together?
It really depends on your specific needs. I typically recommend meeting at least once per quarter. However, if we determine that more frequent meetings would be beneficial, we’re happy to accommodate that.
Do I get a dedicated bookkeeper or a team?
Yes, you’ll have a dedicated bookkeeper assigned to your account. You won’t have multiple people handling your books—just one expert who will take the time to understand you and your business. This allows them to provide informed, personalized support and accurate answers to your questions.
What happens if I have a question outside normal hours?
Feel free to text us anytime—we’re always reachable. And if needed, we’re more than willing to hop on a call after hours.
Can you explain reports in plain language if I don’t understand accounting terms?
Absolutely. We’re committed to explaining everything in a clear and straightforward way. After all, it’s essential that business owners understand what’s happening within their business. Our goal is to ensure you feel confident and comfortable with the work we do on your behalf.
Pricing & Contracts
How do you charge — hourly, fixed monthly fee, or by project?
We charge a fixed monthly fee for bookkeeping services. The fee is generally based on the number of bank and credit card accounts, as well as the estimated volume of transactions. Additional charges may apply depending on the complexity of your accounts and the level of effort required. Rest assured, our pricing structure is fair, competitive, and designed to provide excellent value.
Are there setup fees or cleanup fees if my books are messy?
No, there are no setup fees. We’ll begin by reviewing and assessing the current state of your books. Based on our findings, we’ll provide a tailored recommendation and pricing.
Is there a contract, or can I go month-to-month?
There’s no long-term commitment required—you’re free to go with a flexible month-to-month plan.
What happens if I want to switch to another provider later?
When transitioning to a new provider, you’ll retain full access to your bookkeeping data. If you’re using QuickBooks Desktop, we’ll export your data file and send it to you directly. For QuickBooks Online users, you’ll simply remove Major Payroll from your account and add your new provider. Any physical documents you provide are scanned and returned to you, as we prefer not to retain paper copies. All scanned files are stored securely in your client portal, which will remain accessible for one month after your transition, giving you ample time to download any necessary documents.
